Assistant Project Manager

Full-Time in Burlingame, CA

Classification: Exempt

Reports to: Senior Project Manager

The Assistant Project Manager provides support to the Project Manager to prepare agendas for meetings and to take meeting minutes, track all Sketch Addendas, and field changes, photo documentation coordinate samples, mock-ups and submittals, and prepare a maintenance and close out binder and meeting agendas.

  • Work with the Project Manager and senior management/sales to understand scope of project and report progress throughout durations.
  • Establish project objectives, policies, procedures, and performance standards in line with company policy/procedures and contract specifications.
  • Work with the Project Manager and project team to define sequences of activities needed to successfully complete project.
  • Work with the Project Manager to determine resource required to complete project and requisite supplies, materials, and subcontractors to complete project.
  • Assist the Project Manager with creating project schedules and review project schedule with senior management and other staff that will be affected by project activities, revise schedule as needed.
  • Coordinate with the Project Manager, superintendent and foreman to plan, organize, and direct activities concerning site construction projects. Discuss matters such as work procedures, complaints, and construction problems.
  • Work with the Project Manager to maintain liaison with clients and other contacts to facilitate project activities.
  • Work with the Project Manager to monitor and control project through administrative direction to ensure completion of project within schedule and budget.
  • Work with the Project Manager to investigate potentially serious situations and implement corrective measures after conferring with senior management.
  • Represent company in project meetings and attend strategy meetings.
  • Work with contract administrator to manage financial aspects of contracts to protect company’s interest and simultaneously maintain good relationships with client and subcontractors/vendors.
  • Assist the Project Manager with formulating reports concerning such areas as work in progress, costs, and scheduling.
  • Maintain project records and ensure that all regulatory documents are correct, processed, and approved.
  • Maintain and track construction documents log and file storage structure.
  • Assist in preparing reports and data collection for analysis.
  • Assist with project management duties such as estimating timelines and schedules; anticipate risks and costs related to technical aspects of the project.
  • Liaise between company departments on behalf of project team as needed & directed by project team.
  • Route, track and resolve information requests.
  • Assist in preparing submittals, route, track and resolve submittals
  • Assist with Meeting Agenda preparation and distribution. Assist with Meeting Minutes and distribution.
  • Assist with Time Tracking and Time Card documentation
  • General Administrative Tasks
  • Prepare correspondence related to project.
  • Review and distribute project documents.
  • Assist with coordinating and communicating as needed under direction of project team.
  • Coordinate space and office organization.
  • Maintaining project specific paper and electronic files.

Required Experience and Education

  • College Degree or equivalent
  • Trade school training or equivalent
  • 3+ years of project management in the construction industry

Work Environment

While performing the duties of this job, the employee may be exposed to fumes or airborne particles, moving mechanical parts and vibration. The employee is occasionally exposed to a variety of extreme conditions at construction job sites. The noise level in the work environment and job sites can be loud. This position is performed in outside weather conditions some of the time. It is also performed inside DPC's main office and on site trailer offices and involves sitting at a computer for long stretches of time. Physically working in the office and on the site is essential due to the collaborative nature of this position.

While performing the duties of this job, the employee is regularly required to talk or hear. The employee is frequently required to stand; walk; use hands to finger, handle or feel; and reach with hands and arms.

The employee is occasionally required to sit; climb or balance; and stoop, kneel, crouch or crawl. The employee must frequently lift or move up to 10 pounds and occasionally lift or move up to 30 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus. It also involves sitting at a computer for long periods of time.

Position Type/Expected Hours of Work

This is a full-time position. Regular days and hours of work are Monday through Friday, 8 a.m. to 4:30 p.m, and may vary depending on the project needs. Occasional evening and weekend work may be required as job duties demand.
